Please read the following: All tours: School groups are invited to enjoy lunch in the Hearst Foundations Children’s Courtyard or the Libby Amphitheater. Please also be mindful that the Heard Museum Cafe is unable to provide catering for school groups at this time. Self-guided tours: It would be best to store your lunches and bags on the bus during the in-gallery portion of your visit. If that isn’t possible, please let us know in advance so that we can arrange for storage at security. Guided tours: Lunches can be stored in the cubbies in our Dorrance Education building, along with water bottles and other bags.Is your group interested in completing any of our chaperone-led activities?(Required) Yes No Please select one of the following options, and we will prepare a crate with instructions and materials for your group to enjoy. These are a great option for larger groups who will be at the museum for 2 hours to allow all students to participate in a guided tour. Plains Style Cuff: Activity page that shares information about cuff and allows students to color, cut, and wear their own. Outdoor Sculpture Tour: Includes a map, context, and questions about different sculptures. Students have the option to take a clipboard, paper, and pencil with them to sketch during the walk. (ASL interpreter, translation, etc.)(Required) Yes No Please explain how we can best support and be prepared for your group?Please review the following: Grouping/Docents/Chaperones: We limit the guided tours to 120 students per visit. We break up the students into groups of 20. Each Docent will take 1 group through the Home Gallery. We can fit up to 3 groups of 20 in the Home Gallery at one time. If you have more than 60 students, the first 60 will be guided through the Home Gallery while the rest of the group views other parts of the museum and campus. After 45 minutes the groups will switch. Thus, your group would need to plan to be at the museum for 2 hours to accommodate the guided tour. Payments/Confirming Your Reservation: Once we have all of your information, we will check to see if any of your requested dates are available. If a date is available, we will send you a processing order which contains your reservation confirmation and serves as an invoice. We don’t charge per student or per chaperone, but we do charge a one-time booking fee of $20 to secure the requested date and time. If none of your requested dates are available, we will suggest similar dates and times. Backpacks/Water bottles/Food: Please note that we do not allow backpacks, food, or beverages (bottles/containers) in the museum. We have a limited number of lockers available but if you have a large group, we suggest leaving items on the bus before you enter the building. If chaperones need to bring a backpack with them into the galleries, it will need to be tagged and cannot be worn on the back. Cancellations & Changes Policy Agreement: If you need to cancel your visit, please call Visitor Services at least 3 business days in advance at 602.252.8840. NO-SHOWS WILL BE CHARGED A $25 CANCELLATION FEE in addition to the $20 booking fee. I have read and understand all requirements including the cancellation policy prior to submitting this form.
